Important Information for Displayers

At this time, we likely will not have any of the four alcoves in the rotunda available for our use. The Legislature has allocated those spots for media. That leaves only the inner circle of the rotunda, which has NO electricity, available for displayers. Therefore, all displays requiring electricity will be assigned to one of the foyers (House or Senate side).

In addition, we have been made aware of a few things that came up with multiple groups during the 2023 session. Please read these before you make plans for History Day.

1. Nothing should be taped to the marble. This includes taping down cords with ANY kind of tape and taping signs to the columns or walls.
2. No helium balloons.
3. Cooking of any kind should be accompanied by a fire extinguisher provided by the vendor. Any cooking must be pre-approved before the event (list it on the bottom of page 4 on the contract).
4. We do not provide extension cords. Users should take this into consideration when choosing where their booths will be located. You may bring your own extension cords, but please be considerate of trip hazards and bring cord protectors as needed.
5. You cannot sell products on the Capitol grounds unless you are a 501(c) non-profit organization in good standing with the WV Secretary of State's office who has been pre-approved to sell on the grounds.
6. If you are blocking a doorway, you will be asked to move.
7. The building does not open until 7:45. There are no special circumstances to get into the building beforehand.
8. All music usage or musical instruments must be pre-approved to accommodate daily business (list instruments on the bottom of page 4 on the contract).
9. Dock access is limited to 30 minutes for loading/unloading. We only use the East dock on California Ave. All requests for dock access must be submitted a minimum of 3 days prior to the event. This includes information for caterers. Please see the bottom half of the final page of the contract for details needed.

You may submit the completed PDF of the Display Space Reservation Form electronically by e-mail. You should save the completed form to your computer first and then e-mail it as an attachment. The online History Hero Nomination Form cannot be submitted electronically and must be printed out, signed, and delivered by hand or by regular mail via the Post Office or other postal carrier.

In completing the Display Space Reservation Form, remember to mark if you need electricity. Assignments are made on a first come, first served basis.

Also regarding the Display Space Reservation Form, in addition to organization name, we must have the name, complete mailing address, and phone number for your organization's contact person. We are required to provide this information to General Services before History Day.

We will send notification of receipt of these forms to the contact person. It will be sent by e-mail if the contact person provided an e-mail address and by regular mail if an e-mail address is not given. If you do not hear from us within two weeks of sending your form(s), contact us immediately. That likely means we have not received any form(s) from you!

If you have questions, please contact Mary Johnson by e-mail or at (304) 558-0230.

We look forward to a great History Day in 2024!
